Managing Projects in the ERP

This guide provides clear instructions for adding, editing, and archiving projects within the system.

ℹ️ The following permissions are needed there:
View ERP projects
Manage ERP Projects
Archive\restore ERP project
View ERP project external rates
Manage ERP project external rates

Adding a Project

Each project should have a Project Manager. Please, before adding a new project or updating an existing one, make sure that the needed Project manager has already an account in HRM and that the member is set as part of the Department “Project manager”, “Delivery manager” or “Talent Operation”

  1. Navigate to Projects → ERP projects: Go to the “Projects” section and select “ERP Projects.”
  2. Click “Add Project”: Begin the process by clicking the “Add Project” button.

  1. Enter the all required fields (It is marked with an * (asterisk) symbol):
    1. Project name — specify the Project name
    2. Description — short description of the project
    3. Delivery group — select the delivery group in the Dropdown
    4. Domain — start entering the needed domain name
      1. If the domain already exists in DB, you will see complete suggestions. Press enter or click on the row → domain will be selected
      2. If it is a new domain, you need to enter the full domain name and the needed domain will be added to the DB for future selection and selected there automatically
    5. Team — specify whose team will work on the project (client or your internal team)
    6. Project manager — select Project Manager in the drop-down
    7. Additional benefits of working on the project  — any additional information about the project
    8. Country — Select the country of the project, which the stakeholders are from, or for what country market the project is 
    9. City — Select the city of the project, which stakeholders are from
    10. Tech stack — specify which technologies will be used in the project
    11. Methodology — specify the methodology of the project development (e.g. agile, waterfall)
    12. Project phase — e.g. support, start-up etc.
    13. Team composition — specify what team composition you need for the project
    14. Special conditions in recruitment flow 
    15. Additional information any additional information about the project
📓 If there are some extra fields, that you don’t need to fill, you can enter the “-” symbol.
  1. Set external rate: In the box on the right part of the page, You can find the list of possible services that are provided for the project implementation. The services correspond to Departments with “Delivery” category.

  1. Check needed checkboxes that are applied to the project.
  2. Set the hourly rate, that the client will pay for this type of service (can be decimal value).

  1. Click “Create”: Submit the new project by clicking the “Create” button in the right-top corner of the page.
  2. Verify Creation: The newly added project will now appear on the ERP Projects page.

Editing a Project details

  1. Access the Project for Editing: Click on the needed Project row to open the project details.
  2. Click Pencil icon: To open the edit page, please click on the Pencil icon.
  3. Modify Field Values: Update the necessary fields with the new information (fields description, see in the Adding a project)
  4. Save Changes: Click “Save” to apply and save the changes.

Editing a Project’s external (service) rates

An external rate is an hourly rate that an external client pays for the provided type of service. This rate is used automatically in assignments in Planner, Delivery budget, and in the Profitability/Billability reports if the custom rate isn’t overloading with this value.

  1. Navigate to Projects → ERP Projects: Go to the “Projects” section and select “ERP Projects.”
  2. Find the Project: Locate the project rates you want to set.
  3. Click Pencil icon: Click on the Pencil icon to edit the project details.
  4. Select the Rate Tab: Navigate to the “Rate” tab.
  5. There you can
    1. Modify the existing rate for services to do the next steps
      1. Click Pencil icon
      2. Modify Field Values: Update the rate 
      3. Save the Rate: Click “Save” to confirm the new rate.

  1. Add service to do the next steps:
    1. Click “Add service”

  1. Locate needed service: click the + button near the needed service and the selected service appears at the top of the page
  2. Modify Field Values: Update the rate

  1. Save the Rate: Click “Save” to confirm the new rate.

Archiving a Project

  1. Access the Project for Archiving: Click on the needed Department row to open the department’s details.
  2. Click “Archive”: At the end of the form, click the “Archive” button.

  1. Confirm Archiving: Confirm the action to archive the project.
📓The active and future assignments on this project will be terminated.

By following these steps, you can effectively manage projects within the ERP, including adding new projects, making edits, and archiving projects when necessary.
