How to create an assignment?
- Go to the Planner
- Select Associate
- Click on the burger Menu and select Assign
- Fill in all required fields
- Save changes

Why can’t I see the associate on the Planner?
There are several reasons for this:
- The associates department has a Corporate function category
- This is a new account, and you need to create an assignment from the ERP Members page
- The user has been archived, or the user is in the long-term left (you need to enable the Include archived toggle)
- The Associate just does not have an assignment in the selected period — you need to change the period in the corresponding filter
Rates
What is the difference between the internal rate and the external rate?
An External rate is an hourly rate that an external client pays for the provided type of service. This rate is used automatically in assignments in Planner, Delivery budget, and the Profitability/Billability reports. An internal rate is the salary or hourly rate used to calculate an associate’s pay. This rate is used automatically in the Profitability, Billability and non-billable reports.
I’ve changed a project service, but the project rate in an assignment is the same. Why?
If the project rate is changed in the Projects settings, the saved value isn’t changed in the assignment. To apply a new rate, you need to set any custom rate and after that set the Project rate again.

How are planned hours calculated?
Planned hours are the amount of expected working hours for the selected period according to the project assignment hours and planned overtime. So, Planned hours are calculated for assignment loading. The holidays and weekends are excluded from planned hours.
How are actual hours calculated?
Actual hours are the amount of hours logged by the Associate during the specified period for the relevant project. Please note that only approved hours are calculated there. So actual hours can be checked on the Time tracking page in HRM.
What is Utilization?
Utilization is calculated with the formula Utilization% = ( Actual hours / Planned hours ) *100. So Utilization is defined as the amount of an employee’s available time that’s used for productive, billable work, expressed as a percentage.
How is GPM calculated?
GPM is calculated with formula GPM. % = ((External rates * Actual hours – Internal rates * Planned hours) / (External rates * Actual hours)) * 100.
Why is GPM negative?
GPM is calculated with formula GPM. % = ((External rates * Actual hours – Internal rates * Planned hours) / (External rates * Actual hours)) * 100.
Therefore, if (internal rates * planned hours) is larger than (external rates * actual hours), then minus is formed in the numerator and gpm is negative.
Why do I see $0 in member’s external rate in the Profitability report?
External hourly rate is calculated with the formula (Ext rate for Assignment 1 * Actual hours for Assignment 1 in time period +…+ Ext rate for Assignment N * Actual hours Assignment N in time period ) / Total logged hours in time period.
Therefore, check:
- if external rates for assignments are filled in
- the member has logged time in the project with category “billable”
- the logged time is approved
- the member has Assignment with billable status in the corresponding period
Why do I see $0 in a member’s internal rate?
Internal hourly rate is calculated with a formula:
Internal rate 1 * planned hours in assignment 1 in Interval 1 + Internal rate 1 * planned hours in assignment 2 in Interval 1 + {…} + Internal rate 2 * planned hours in assignment 1 in Interval 2 + Internal rate 1 * planned hours in assignment 2 in Interval 2 + {…}) / Total Planned hours in Intervals (1+2+ ..)
So, please, go to ERP member’s profile -> details-> rate and check if the Rate and Salary fields are filled in. If not, kindly ask the Finance team to do it.

How to add a new project service?
- Add a department: go to Teams -> Departments-> Add department. For example, Rust department
- Choose a department category
- The Rust service should appear in the list of project service
Request and releases
What happens after Request is removed or declined?
You can no longer edit the Request. It is shown below the requests with statuses New or Edited.
Why can’t I choose the needed team member when I’m setting a release?
Most probably, it’s because there is no corresponding Assignment on the Planner.
What happens after the Request is approved?
You can no longer edit the Request. Assignment on Planner is created.
Why is my Request removed?
Somebody removed it manually or the ERP system did it automatically in case a member or a project was archived.
What happens after Release is removed or declined?
Assignment End date is not changed. Assignment becomes editable. New release can be created;
Why the Request I created is not displayed on Planner?
The <Team member> field is set to <any>. Choose a team member and then the request will appear on Planner.
Why is the needed release date disabled?
Because the corresponding Assignment ends sooner than the release date.
Why can’t I set part Release?
The loading on the corresponding Assignment is less than 40h
What happens after the Release is approved?
Assignment End date is changed to Release Date. In addition to that, if the member has available work hours for the next 7 days after the release date, then Assignment on Bench is created on available hours for the next 7 days.
