Fragmented employee data storage and the absence of performance evaluation tools can hinder growth and result in an uncoordinated ecosystem of tools, where multiple systems are redundantly used within a single process. To address this challenge, Yalantis developed and implemented the Human Resource Management System, seamlessly integrated with ERP and CEP.
HRM (Human Resource Management System): a module for automating people management, including leave and sick day tracking, performance, and potential assessment (9-box model), monitoring and measuring employee satisfaction (ESAT), as well as logging working hours.
Tailored solutions to address key challenges for leadership roles
We clustered the operational challenges businesses face and developed a comprehensive HRM platform toolkit by SHERP to address these issues.
Key challenges:
Lack of a risk radar and employee satisfaction monitoring tools:
- Increased recruitment and onboarding costs, reducing overall operational efficiency.
- Loss of critical technical specialists required for successful project delivery.
- Difficulty in building strategic workforce development plans due to the absence of data for analyzing problem areas and risks.
Manual approval processes leading to lack of transparency and errors:
- Increased costs associated with manual processing, clarification, and approval of requests.
- Lack of transparency in decision-making processes and control over compliance with company policies.
Potential security risks when handling employee personal data:
- Data may be stored in unauthorized locations, creating risks of information leaks.
- Without systematic tracking of changes, it is difficult to identify who made edits to the data and when, potentially causing misunderstandings.
Goals and Project Definition:
Automating HR Processes for Increased Efficiency and Accuracy
Before implementing the HRM system, Yalantis relied on manual processes to manage employee requests, calculate working hours, and process data. Below, we will explore how the implementation of the HRM system helped Yalantis automate workflows, address common HR management challenges, and lay the groundwork for scaling.
HRM feature set:
Time-off management module:
- A functional and minimalist dashboard with a time-off balance for personal tracking; employees can create time-off requests and view their current time-off balance, which is divided into vacation days, unpaid vacation, and documented sick leave.
- Creation of time-off requests for paid and unpaid vacation time, sick leaves; types of time-off requests can be modified depending on a particular company’s needs.
- Approval of time-off requests by an employee’s project manager, HRBP, or any other person with permission to approve.
- The core function of the time tracking feature is to log worked hours, creating a worklog – a record of the time logged. The timesheets feature also allows managers to log multiple team members’ hours for a single task.
Analytical module for employee management
These tools include analytical modules, employee satisfaction monitoring systems, and risk management features. Together, they drive efficiency by streamlining business processes, enabling scalable growth, and fostering a transparent and collaborative company culture.
HRM feature set:
- 9-Box Matrix: Evaluate employee performance and potential using the 9-box grid.
- Employee satisfaction (ESAT) surveys to gather employee feedback on the company’s operations and further improve employee management at different levels of the company.
- Time-off reports for each employee, with the possibility to add filters to retrieve only critical information.
Corporate structure module
The corporate structure management module provides transparency in processes related to time-off requests, employee statuses, and personal or employment data.
HRM feature set:
- A separate tab in each employee account to view a history of time-off request approvers.
- Separate tabs for created, approved or declined, and completed time-off requests.
- Ability to view all company employees with current work status and limited personal information (as per the viewer’s permissions) including job position, probation period, direct manager, birthday, and English level.
- Adjustable system of permissions to reflect changing employee responsibilities.
